Export to marketplaces: one catalog, several sales channels

Catalog export to marketplaces is not one file for everyone, but a separate feed for each channel from a common data source: Rozetka, Prom, and Merchant Center have different mandatory fields, different category trees, and different prices through commissions. You pick up the product once, and it goes to the site ready for acceptance. Then everything rests on two things: validation before sending and one source of balances for all channels at once.

Situations where this service delivers results

Scenario 1 of 4

Take the items on the site with your hands with the second set

The manager copies the name, price and specifications into the seller's office, and from that minute you have two filing cabinets. They diverge not immediately, but on the third or fourth price update: the price is new on the website, and still old in the office. Export removes the second input - the position is established once with you and goes to the channel with the next generation.

Tasks and results in numbers — all metrics measured by us

the official online store of garden tools of the world brand

Task
Sell a full assortment — watering, lawnmowers, secateurs, battery-powered equipment, accessories — from your own website and at the same time from the site, without maintaining the catalog twice.
Solution
OpenCart 3.x under nginx with HTTP/2 and HSTS, two language versions. Eight payment methods and four carriers at the checkout, including site delivery service; external feedback module, messengers and social networks are connected.
Result
Measure 07/31/2026: 8,690 unique addresses in the site map — 8,609 sheet pages and 81 category nodes, that is, a catalog of about 8,600 cards. TTFB 789.4ms and full load 914.7ms with language branch redirect, HTML 323.9KB. Defects found: 8.57 MB sitemap gives 33,493 entries for the same 8,690 addresses — about 3.85 duplicates per address; the second language branch, declared in the language marks, was not included in the map; PHP 7.3.33 is unsupported as of December 2021.
What's included

Complete list of work and what you get as a result

  • A separate feed for each channel in its format - the position is accepted as it is, not "partially" with silent screening of the rest
  • A map of how your categories match the pitch trees, including when one of your branches overlaps with more than one of theirs
  • Validation before sending: an item with incomplete mandatory fields does not go to the feed, but gets into the report with a reason
  • Rejected Items Report - The same list works as a replenishment plan for your content manager
  • A separate channel price field with a commission markup rule: the margin is calculated before export, not after the monthly reconciliation
  • The only source of balances for the site and all feeds - the second table "for marketplaces" does not appear at all
  • Assortment rules by category, brand or feature in the card — you can enable and disable product groups from the admin
  • Background task generation in chunks with atomic publication: The channel cannot read a half-assembled file
  • Notifications when the generation did not work or the proportion of rejected ones increased sharply - the breakdown is visible on the same day
  • Acceptance of orders from sites in one journal with site orders where the channel provides an API for this
  • Removal of discharges left over from previous contractors and still giving old data
  • Terms: payment by stages, warranty period of 30 calendar days
When this service isn't right

What's not included — so there are no surprises at delivery

  • Registration and moderation of you as a seller on the platforms
  • Completion of characteristics according to the catalog is content work, evaluated separately
  • Advertising inside the sites and working with the seller's rating
  • Responsibility for changing site requirements after delivery of works
  • Hosting, domain, acquiring
Process steps

Transparent stages with approval at every step

Total duration:8–30 days

  1. Map of channels, categories and fields

    2-4 working days

We make a table: your category — the category of each channel — mandatory fields for it. Here it becomes clear which categories of data are missing and how many items it concerns.

  2. Data source and rules

    2-4 working days

We record where the price and availability come from, create a channel price field with a markup rule and assortment rules: what goes to the site, and what remains only on the site.

  3. Feed generator and validation

    3-6 working days

We write the generation according to the format of each channel with a check of mandatory fields before sending. The file is assembled by a background task in parts and published atomically — nobody will see it half-assembled.

  4. The first export and sorting of the rejected

    2-5 working days

We give the feed to the channel, remove the report on rejections and divide them into mass reasons and individual ones. We pass the first batch together with your content manager, then he closes them himself.

  5. Schedule, notification, cleaning of the old one

    1-3 working days

The generation frequency is set below the speed of movement of the remnants, a signal is added about a failure and about a jump in the proportion of rejected ones, the discharges left over from predecessors are turned off.

  6. Order and transfer

    2-6 working days

Where the channel provides an API, we place the order in the same journal as from the site. We go through the process with your manager and give a description of how to connect the next channel.

Free audit of the readiness of the catalog for export

We take your catalog and check it against the requirements of the sites you want to go to. At the output there is a number: how many items will pass as they are, how many need to be topped up, and in what order.

What we measure

  • Mandatory fields for each channelThe set is different even for the same product categories. The share of finished items is calculated separately for each site, and not for the catalog as a whole.
  • Comparison of categoriesDoes your tree fit the tree of the site clearly? A discrepancy means a manual map of correspondences — it is a separate line of the estimate and a separate term.
  • Status of available downloadsIf the feed already exists, how alive is it today. In the garden tool store we measured, the 8.57 MB sitemap returned 33,493 entries for 8,690 real addresses; with old feeds this happens more often than it seems.
  • Source of prices and balancesWhere does the availability for export come from and with what delay. An overdue balance on the platform is more expensive than on your own website: there the rating is lowered for it.
  • Prices by channelsIs the site commission included in the price? Without a separate channel price field, the margin is quietly eaten away and is seen on the quarterly reconciliation.
  • Order processingWhere will the orders from the sites go and who works with them. Two separate magazines are double the sale of the last unit.

What you get

  • Readiness report: the proportion of items that will go through each channel and a list of what is missing.
  • A map of the correspondence of your categories to the trees of the sites.
  • Evaluation by channels separately — so that you can start with one.
  • Conversation for 30–40 minutes on the document.

Timeline: 3-5 working days

Why is it free

Because the readiness of the catalog is a number, and without it, the estimate turns into a guess. The report stays with you regardless of whether we do the export or not.

What's next

After the audit, the amount and term by channel, contract, account, act. Often the first stage is not a feed, but an addition of characteristics, and we will show it honestly.

Short form: your contact and site URL

  • Contract, act and 30-day warranty

Every project gets a written contract: scope, deadlines, amount, acceptance procedure. After delivery — act and invoice, then 30 calendar days of warranty.

  • Sole proprietor & bank transfer

The contractor is a registered sole proprietor. Payment by invoice with closing documents.

  • Rights & access — yours

Code, design and materials transfer to you after full payment. Domain, hosting, repository and analytics are registered to you.

  • Client portal instead of email chains

During the project you get access to a portal: contracts, invoices, acts and project status in one place.

  • European clients

Among our work — projects for Norway, Bulgaria, Moldova and Spain.

  • Verifiable numbers

Every case in the portfolio comes with a link to a live site and a technical measurement.

  • Audit first, then pricing

There is no price list on the site intentionally: the scope of the same work differs multiples between clients.

  • We say "no" when unsure

If the task isn't ours or the deadline is unrealistic — we tell you upfront.

Describe how it works on your side — we will tell you whether “Catalog export to marketplaces” fits and what it means in your situation. No brief and no call: one question, one answer.

What affects the price

Why two seemingly identical tasks are priced differently

  • Number of channelsThe second channel is cheaper than the first, the third is even cheaper: the common data source is already collected, and you pay for the category tree, required fields and the site-specific price rule.
  • The state of the characteristicsCharacteristics by separate fields — the feed is collected in days. The characteristics inside the description have to be extracted position by position, and it is this, and not the generation of the file, that eats up the main time.
  • The divergence of category treesWhen your branch clearly lies on a branch of the channel, the map is made in half a day. When your one category collapses into five of theirs, there's a document that someone has to maintain.
  • Source of residuesAvailability in the site database - the download is attached directly to it. Availability in the accounting system requires an exchange first, and this is a neighboring work with a separate cost.
  • Order back to the siteNot every channel gives orders programmatically. Where there are APIs, they fall into one journal; where there is none, the seller's office remains, and we call this difference to the estimate.
Technologies & integrations

What we build on and what it connects to

Stack

  • OpenCart 3.x and 4.x — box export closes one or two channels, we write the rest for your catalog
  • WooCommerce — there are many plugins for feeds, we take the one whose code we read
  • PHP and MySQL — background task generation in parts; tens of thousands of items require a night window
  • XML and YML according to the requirements of the channel — the platform changes the requirements for the fields without your participation, the scheme has to be maintained
  • Schema Validation - catches an incomplete field, but does not evaluate the content: it will miss an imprecise characteristic
  • Log of downloads - you can see when the channel came for the file and what exactly it received
  • API of the seller's accounts, where it is; where there is not, orders remain in the office

A common feed generator versus a separate module for each channel

How this option differs from the alternative

Source of prices and balancesone for all channels
New channel requirementediting in one place, other channels are not affected
Assortment rulesone table: category, brand, feature in the card
Rejected itemsjoint report with reasons across all channels
The fourth channelis added to the existing map
What we need from you

We can't start without this — best to prepare in advance

  1. List of channels you plan to download and the one you want to start with.
  2. Access to the seller's offices or the decision of who opens them and for whom they are issued.
  3. Pricing rule for each channel, including commission.
  4. A list of products and categories that are not available on the sites.
  5. Access to the site, the database and the accounting system, if the remains live in it.
  6. One person with the right to make decisions on assortment and prices.

If something is missing — let us know, we'll help you gather it or do it as a separate task.

FAQ

Most frequently asked questions — with concrete answers

Why a separate feed for each channel, if the product is the same?

The product is the same, the requirements are different. Each site has its own list of mandatory fields, its own category tree and its own format — even for one product category. A universal file is either rejected entirely, or accepted in half, and then you see a part of the catalog on the site without an explanation of where the rest went. We keep one data source and collect as many feeds from it as you have channels: the rule has changed - edit in one place.

We already have an offload from the previous contractor

First, we see what it gives today, and only then decide whether to finish or write anew. Old downloads rarely break loudly: the file is generated, the channel takes it, and the prices or half of the assortment are frozen inside. A visual illustration from our measurement: For a garden tool store, the 8.57 MB sitemap contained 33,493 entries for 8,690 real addresses. The feed in the same condition looks working from the outside.

Why do some items not appear on the site?

Almost always due to incomplete mandatory fields in the category where the position was placed. That's why validation takes place before sending: the position with holes does not go to the feed, but goes into the report with the reason. This is a deliberate choice — it is better to deliberately not send two hundred items and know which ones, than to send the entire catalog and analyze the rejections in the office a week later. At the same time, validation checks the presence and format of the field, not its content: it will miss an inaccurate characteristic.

How not to desynchronize the balance between the site and the three channels?

Keep one source and don't start a "table for marketplaces" - it will diverge from the main one in a couple of weeks. Availability is taken from the account or from the site's database and from there gets into all feeds. Fair Limit: Exchange does not cure accounting. If there is a resort in the accounting system, the channels will receive inaccurate data quickly and accurately. And there is always a window between generations, in which the last unit can be ordered twice - we select the frequency according to the speed of movement of your assortment.

Should the prices on the platforms match the website?

Not required, and usually do not coincide: the commission takes a significant part of the check. We introduce a separate channel price field with a markup rule so that the margin is calculated before export. Two caveats. First, buyers compare your price on the site with your price on the website, so the difference should be a conscious decision, not a side effect. Second: the feed does nothing with the price itself. It just puts you more quickly in the line where the numbers are compared.

Do all goods have to be unloaded?

No, and often you shouldn't. Items with a thin margin on the channel with a commission turn into work at a loss for yourself, and sometimes it is wiser to keep the exclusive only to yourself. We set up rules at the level of category, brand and separate feature in the card, so that you enable and disable product groups from the admin. This is the setting that owners change most often in the first two months, which is why it should not require a developer.

Will orders from the sites get into our magazine?

Where the channel places orders programmatically, yes, they are included in the same list as the site's orders, and the manager works in one window. Where there is no API or it is truncated, the seller's account remains, and this should be included in the process in advance. The advice is simple: sooner or later, two separate magazines give double the sale of the last unit, so if it is technically impossible to combine them, at least combine the responsibility - one person, one regulation.

How long does it take if there are four channels?

8-30 working days after the audit. The sum of the stages gives 12-28 days, and this is not a mistake: the category map and the work with the data source go in parallel, so one channel on the ordered catalog is closed in eight. The upper limit is three or four channels with different trees, separate prices and taking back orders. The time to fill in the characteristics is not included here: this is content work, and we call its volume a figure after the audit. We advise you to run the channels in turn: the first one shows exactly which data you have weak, and the second one is twice as easy.

Submit catalog download and channel list

In 3-5 working days, we will return with a figure: how many items are passing through each platform as is, how many need to be replenished and in what way. If it is more profitable to start with one channel instead of four, let's say it directly.

  • We work under a contract

There is no price list on the site on purpose: the same work differs several times over between two clients, and a “from” figure explains nothing in that case. First a free audit — we count your pages, duplicates and speed — then we name the sum and the deadline and fix both in the contract.
