Personal account: so that a regular client does not write to the manager

The client's personal account in the online store is a closed part of the site, where the buyer, after logging in, sees his orders, his prices and his documents, and does not ask the manager about them. We put it in a store that is already working: a history with statuses, a repeat of the past delivery in one movement, an invoice for payment without a call, separate logins for several people from the same company. The term is 12–40 working days. We call the amount after a free analysis: the volume is not determined by the number of screens, but by the list of routines that the office must take from the manager.

What's included

Complete list of work and what you get as a result

  • History of orders with statuses and carrier invoice number - the question "where is mine" is closed without a manager
  • Repetition of the previous order in one movement: cyclical purchasing ceases to be a trip through the catalog
  • The price according to the client group is substituted for the entire catalog after logging in - sending a price list by email becomes unnecessary
  • Invoice for payment from the order and archive of documents in the office: the client's accountant collects them himself and at any time
  • Stored delivery addresses and details for cashless payment - the second order is shortened to a few fields
  • Separate entrances for several people from the same company with separation of rights: who issues, who sees the documents
  • Selected, saved selections and draft orders - the list for the next month is collected in advance, not at the time of purchase
  • Price or availability request by position directly from the office, with the manager's response in the same card, not in the fourth messenger
  • Status change notification in Telegram, Viber or by mail - instead of a call asking what's up with the order
  • Restoration of access without the participation of the manager: confirmation of mail, restrictions on password selection, exit from all devices
  • Exchange with the accounting system for prices, limits and documents, if they live there and the export exists
  • Terms of work: payment by stages, warranty period of 30 calendar days after acceptance

What's not included — so there are no surprises at delivery

  • Bringing order in the reference books of the accounting system
  • Legal document templates — you provide them
  • Full-fledged CRM: the office serves the client, not conducting sales
  • The mobile application is a separate development
  • Hosting, domain, acquiring

Situations where this service delivers results

Scenario 1 of 4

The manager writes the same thing every day: "left", "tomorrow", "here is the bill"

Count in one working day how many manager messages are status, invoice or price reminders. Usually more than half of the correspondence comes out. The office takes it: the status is visible in the history together with the number of the carrier's invoice, the bill is in the documents section, the price is replaced after logging in.

We'll review your situation in a free audit

Free analysis: what to bring to the office

The cabinet justifies itself only when it takes away the real routine from the manager. Therefore, we start not with a list of functions, but with what requests you receive most often.

What we measure

  • What is the manager often asked?Order status, invoice, price, availability, repeat past delivery. The frequency list determines what to do first in the office.
  • Types of customersRetail, group, dealers, companies with VAT. Everyone has their own price, their own documents and their own scenario; the office should distinguish between them.
  • Source of prices and limitsWhere do individual prices and customer debt come from: from the accounting system or from the website. This is the main fork of the estimate.
  • Document managementWhat documents does the client request: invoice, invoice, reconciliation report. Can they be formed automatically, or do they live in accounting.
  • Current customer behaviorDo they register at all? In the cosmetics wholesale store we measured, the catalog includes 3,947 products and 166 brands - at this volume, re-ordering without an office turns into a search through the entire catalog again.
  • Access securityWho and what can be seen in the office, whether confirmation is required, whether several people from the same company can log in separately.

What you get

  • A list of office functions, ordered by how much routine each one takes away from the manager.
  • A diagram of customer types and what each sees.
  • Assessment by stages - so that you can start the basic cabinet and add the rest.
  • Conversation for 30–40 minutes on the document.

Timeline: 2-4 working days

Why is it free

Because it is easy to overload the office with functions that no one uses. A few days of debriefing will reveal what is really needed and will usually reduce the estimate, not increase it.

What's next

After analysis - amount and term by stages, contract, account, act.

Short form: your contact and site URL

  • Contract, act and 30-day warranty

Every project gets a written contract: scope, deadlines, amount, acceptance procedure. After delivery — act and invoice, then 30 calendar days of warranty.

  • Sole proprietor & bank transfer

The contractor is a registered sole proprietor. Payment by invoice with closing documents.

  • Rights & access — yours

Code, design and materials transfer to you after full payment. Domain, hosting, repository and analytics are registered to you.

  • Client portal instead of email chains

During the project you get access to a portal: contracts, invoices, acts and project status in one place.

  • European clients

Among our work — projects for Norway, Bulgaria, Moldova and Spain.

  • Verifiable numbers

Every case in the portfolio comes with a link to a live site and a technical measurement.

  • Audit first, then pricing

There is no price list on the site intentionally: the scope of the same work differs multiples between clients.

  • We say "no" when unsure

If the task isn't ours or the deadline is unrealistic — we tell you upfront.

What affects the price

Why two seemingly identical tasks are priced differently

  • How many types of clients does the office distinguish? One type is login, history, and documents. Retail, group, dealers and VAT companies are four sets of prices, documents and rights, each of which is described and checked separately.
  • Where do the prices, limit and debt come from? The rule on the site is self-evident. If the prices, limit and mutual settlements live in accounting, an exchange is required - a separate line of the estimate. Fair boundary: Exchange does not correct accounting. When there is a resort and unrepresented write-offs, the office will show inaccurate numbers quickly and accurately.
  • List of documents in the officeThe invoice is generated from the order and costs little. Invoices are deducted from the account. The act of reconciliation is the most expensive, because it shows the money: an error in it returns the client to the manager with a question worse than the original one.
  • Rights and several users from the companyOne entry per customer is a field in the order. Several people from one counterparty with different rights are their own access model, and it should be checked on the server at each request, and not by hiding a button in the interface.
  • Notification channelsMail is included in the work. Telegram and Viber require a bot, templates, and a task queue. SMS adds a per-message rate — it's your monthly expense, not a one-time job.
  • The condition of the store in which we put the cabinetA store without core edits is a normal job. The store, where the previous contractor edited the kernel files directly, must first be disassembled: otherwise, every update of the platform will break the cabinet.
Cases

Tasks and results in numbers — all metrics measured by us

wholesale store of cosmetics for the beauty industry, catalog of almost 4,000 items

Task
Compile a wholesale catalog for professional buyers: navigation by brands and categories, wholesale prices, quick checkout on the assortment, where a regular customer takes the same items cyclically.
Solution
An OpenCart store with a canonical sitemap declared in robots.txt. Payment through a payment service, cash on delivery and to a bank account, two delivery services. Structured data with contacts and work schedule, two language versions with a switch.
Result
3,947 products, 166 brands and 47 categories — 4,167 addresses in the canonical site map, two consecutive measurements gave the same number. First server response 576.8ms, full load 670.1ms at 192.4KB HTML. It is this catalog that makes reordering a mandatory feature: it is impossible to search for the same thirty items in it every month. A defect was found: an outdated site map lives in parallel — 7,782 entries for 2,755 unique addresses. Measured on 07/31/2026.

wholesale supplier of medical consumables

Task
Sell consumables in bulk to clinics, hospitals and pharmacy chains: a catalog of protective equipment, consumables and equipment with wholesale prices and quick reordering.
Solution
Store on OpenCart. Online payment and payment by card, delivery by carrier, advertising tag, communication through messengers. One language version, mobile layout.
Result
1,656 addresses in the site map: 1,602 product pages, 32 categories, 17 manufacturers and several informational ones. First response 364.7 ms, full HTML download 501.3 ms at 401.6 KB. Found: there is no structured markup on the main page at all - for the medical direction, this is a gap in the current state, and not the result of our work. Measured on 07/31/2026.

Process steps

Transparent stages with approval at every step

Total duration:12–40 days

  1. Analysis of the manager's routine

    2-4 working days

We see that you are asked most often, what types of customers actually are, where prices and documents come from. This is a free analysis; its result is a list of functions ordered by the volume of the removed routine.

  2. TK: types of clients, rights, cabinet composition

    2-4 working days

Who sees what, what each role does, what documents the office gives and where it gets them, what notifications are sent and where. The document by which the amount is calculated and the work is accepted.

  3. Core build: login, history, replay, price per group

    4-14 working days

Authorization and restoration of access, history with statuses and invoices, repetition of the previous order with recalculation at today's price, replacement of the price of the group in the catalog and basket.

  4. Documents, notifications, multiple users

    2-9 working days

An invoice for payment from an order, a section of documents with verification of rights on the server, separate logins from one counterparty, a queue of notifications in the messenger and in the mail.

  5. Exchange, live client end-to-end test, transfer

    2-9 working days

We connect the exchange of prices and documents, run the full cycle on a real regular client — from login to account, transfer access and instructions to the manager.

Technologies & integrations

What we build on and what it connects to

Stack

  • OpenCart 3.x and 4.x — we do not change the version of the platform for the sake of the cabinet, it comes to the existing store
  • OpenCart customer groups - close the price by group, but not the individual price for the pair "customer - product"
  • PHP and MySQL — rights and access history lie in their own tables, not in the order fields
  • REST exchange with schedule accounting: there is a window between the downloads with the old price and the old debt
  • invoice in PDF on the website; accounts for invoices and reconciliations, if he knows how to give them to the outside
  • queue of tasks for notifications - processing does not wait for the messenger or mail server
  • the test site is like a copy of the combat one: the cabinet touches the order, it is not checked live
  • cabinet sections are closed from indexing and from the shared cache

What we need from you

We can't start without this — best to prepare in advance

  1. A list of customer types and pricing rules for each.
  2. List of documents that clients request most often.
  3. Access to the accounting system, if prices and documents live there.
  4. Rights decisions: who sees what and whether several people from the company can log in separately.
  5. Access to the site, database and hosting.
  6. One person with the right to make decisions on the service process.

FAQ

Most frequently asked questions — with concrete answers

Where to start if the budget is limited?

Out of three things: order history with statuses, previous order repeat and payment invoice. They do not require an exchange with the accounting system, so they are done faster, and they take the largest part of the manager's correspondence. It is logical to leave the prices for the group, the credit limit and the act of reconciliation for the second stage - when it is already clear from the first stage whether customers really come there.

Why an office if I have a manager?

So that the manager sells, and not rewrites the statuses. The most telling case is repeat purchase. In the wholesale cosmetics store, which we measured on 07/31/2026, the catalog includes 3,947 products and 166 brands: a regular customer searches for the same items in it every time or sends the list to a messenger, from where the manager transfers it by hand to the order. Redoing a past delivery removes both steps.

How to show each customer your price?

Through groups of customers: after logging in, a person sees his price in the entire catalog - in the list, in the card and in the basket. Separately, we check the repeat order: it must raise today's price, and not the one that was in the last delivery, otherwise the client will calmly repeat it at last year's price and be formally correct. We decide the source of prices at the start: a rule on the website or export from the account.

Can several people from the same company enter separately?

Yes, and in the band it is needed more often than it seems: the buyer makes arrangements, the accountant collects the documents, the manager looks at the history. Technically, these are several users tied to one counterparty, with different rights. This is where offices are most often designed incorrectly — they tie everything to one mail, and then three people use a common password and no one knows who exactly issued the disputed order.

Can documents be submitted automatically?

Payment invoice — yes, it is generated from the order and is available immediately after registration. Invoices and reconciliations usually live in the accounting system, and the office should take them from there. The volume of this part is determined not by the site, but by what your account can give to the outside: if there is no download, it is done first. That's why we look at the account during the analysis, before the estimate.

What if customers simply don't sign up?

This happens, and the reason is almost always the same: registration does not give anything. Our recommendation is not to make it mandatory for placing an order, but to link the account to already created ones: a person bought as a guest, received an email with a link, went in and saw his story there. Next, we measure the share of registered among regular buyers — this is a more honest indicator than the number of registrations per month.

How long will it run?

12-40 working days. Breakdown of routines 2-4 days, TOR and scheme of rights 2-4, cabinet core assembly 4-14, documents and notifications 2-9, exchange and transfer 2-9. The lower bound is history, replay, and store count with no core edits. Upper - prices and documents from the accounting system, several users from the company and the limit: there the main time is spent on exchange, not on screens.

Is it safe to keep documents in the office and will it slow down the store?

We check the rights on the server with each request, instead of hiding the button, and we give the link to the PDF with a one-time signed token - otherwise, the neighboring account is opened by selecting the number in the address. We close the cabinet sections from indexing and from the shared cache. This does not affect the speed of the catalog: the cabinet is separate pages, and the notifications go in sequence, so the registration does not wait for the messenger.

Send a list of what your customers ask the manager most often.

In response, the functions of the office, ordered by the amount of routine that each takes, division into the first stage and the second, assessment of works by stages. If the office does not save you anything now, you will hear about it in the first email.

There is no price list on the site on purpose: the same work differs several times over between two clients, and a “from” figure explains nothing in that case. First a free audit — we count your pages, duplicates and speed — then we name the sum and the deadline and fix both in the contract.
