Nova Poshta chatbot for your store: branches, waybills and parcel status in the chat

People searching for a “Nova Poshta chatbot” or a “Nova Poshta bot” usually mean one of two things. Ours is your store's bot in Telegram or on your website that collects the delivery address from the carrier's directory by itself: city, branch, parcel locker or street for the courier. It is not the official Nova Poshta bot for tracking parcels: it sells your products, and after dispatch it sends the buyer the waybill (TTN) number and a tracking link. The manager creates the waybill with one click in the order — the recipient's details are already collected in the chat and the sender details are filled in. It runs on LEO Chat, our own product, with the real Nova Poshta API.

What's included

Complete list of work and what you get as a result

  • a review of how shipments from the chat are arranged today and where exactly time is lost
  • connecting the API key from your Nova Poshta account — you will be the sender on the waybill
  • sender details in the LEO dashboard: counterparty, contact person, city and branch of dispatch, phone
  • default cargo parameters — type, weight, who pays for delivery — so the buyer is not asked about them mid-conversation
  • a delivery choice flow with buttons for only the options you actually offer
  • a separate courier branch: city, street, building and apartment, because the carrier accepts address delivery as an address, not as a branch
  • a payment step: cash on delivery or card on your payment provider's keys
  • a trial checkout on your key before launch — from choosing the city to the waybill number in the chat
  • handing conversations about courier times, the cheapest option and damaged parcels to a person — in the shared inbox with history and orders
  • answers about delivery terms from your knowledge base — only within its limits
  • a webhook to your accounting system or CRM, if orders from the chat need to get there
  • a 30-calendar-day warranty from the date the acceptance act is signed
When this service isn't right

What's not included — so there are no surprises at delivery

  • the official Nova Poshta bot and tracking of parcels from other senders
  • the Nova Poshta module in the website cart and admin panel — that is a separate integration service
  • the contract with Nova Poshta and the API key: the store arranges them in its own name
  • waybill creation with no person involved at all — the manager confirms the waybill in the order
  • choosing the cheapest delivery for the buyer, arranging courier times and handling claims
  • other carriers: only Nova Poshta works in the chat
  • Instagram and Viber channels — in LEO Chat they are still planned
Who it's for

Situations where this service delivers results

Scenario 1 of 4

Orders already come in through a messenger

The buyer writes in Telegram, and the manager opens the carrier's account, looks up the city, checks the branch number and retypes the address into the order. While this goes on, the conversation stalls.

We'll review your situation in a free audit

Free review: which parts of shipping can be handed to a bot

We look at how orders from messengers reach a waybill today: who asks for the city and branch, where they are retyped from and where time is lost. If there are few orders in the chat, we will tell you so before any contract.

What we measure

  1. Where orders come fromTelegram, the website, calls, other messengers — and what share of them ends in a Nova Poshta shipment
  2. How a waybill comes about todaywho asks about the branch and how many times, whether parcels ever go to the wrong town
  3. Key and sender detailswhether there is an API key in the Nova Poshta account, who the sender is and where you ship from
  4. Typical cargowhether one or two sets of weight and cargo type are enough, or every parcel is special

What you get

  • a written conclusion on whether it is worth moving delivery checkout into the chat
  • a flow diagram: which delivery and payment options the bot will offer
  • a list of situations that stay with the manager

Timeline: 1–3 business days

Why is it free

The answer depends on your orders, not on the technology: if the chat brings a few purchases a week, a manager will handle them faster than the setup would pay off.

What affects the price

Why two seemingly identical tasks are priced differently

  • ChannelsTelegram only, the website widget only, or both — we test the delivery flow in each separately, because the city is entered differently in them
  • Delivery and payment optionsbranches without a courier and cash on delivery make a shorter flow than all four options plus card payment
  • Whether there is already a bot with a catalogif LEO Chat already runs for you, we add only delivery; if not, a catalog and an order flow are needed first
  • Accounting outside the chatpassing orders to a CRM or accounting system via a webhook is a separate scope, if it is needed

Tasks and results in numbers — all metrics measured by us

LEO Chat

LEO Chat — the agency's own product for chat commerce; works in Telegram and in a widget on the website

Task
Measure the two parts of the product that delivery checkout in the chat relies on: whether the engine answers only from the knowledge base, and whether the queue loses confirmed messages — including the ones that carry the waybill number to the buyer.
Solution
An answer engine working from the store's knowledge base that passes anything unknown to an operator; a message queue with deduplication and retries, which also carries the Nova Poshta shipment notifications.
Result
On July 4, 2026, on a reference set of 45 questions — 89.7% accurate answers and none outside the knowledge base. On August 17, 2026, under a load of 300 messages per second with forced shutdowns of system components — 0 lost and 0 duplicated confirmed messages; the load test ran on a full local stack, not in production. These measurements cover the bot's answers in general; delivery checkout was not measured by them.

Process steps

Transparent stages with approval at every step

Total duration:8–15 days

  1. Shipment review

    1–2 days

We look at how orders from the chat reach a waybill, which delivery and payment options you offer and what is left to the manager.

  2. Key and sender details

    1–2 days

The API key from your Nova Poshta account, the sender details and cargo parameters go into the LEO dashboard. Without them the carrier will not create a waybill.

  3. Delivery and payment flow

    2–4 days

Delivery option buttons, city and branch search, the courier branch with an address, cash on delivery or card, order confirmation.

  4. Trial checkout

    1–2 days

We go through the whole path on your key in Telegram and in the widget: city, branch, payment, a waybill from the order, the waybill number in the chat.

  5. First days under supervision

    2–4 days

Together with you we review conversations in the inbox and fix the flow where buyers get stuck.

  6. Acceptance

    1 day

We record what the bot does by itself and what stays with the manager, and hand over the work under an acceptance act.

Technologies & integrations

What we build on and what it connects to

Stack

  • LEO Chat — the agency's own product: Telegram and website widget channels, a shared inbox
  • Nova Poshta API: directory of cities, branches and parcel lockers, waybill creation, label printing, tracking
  • order flow: cart, delivery, payment, confirmation
  • message queue with deduplication and retries

Integrations

  • Telegram Bot API and the LEO widget on the website
  • the store's payment provider for card payment
  • accounting system or CRM via a webhook and the public API
Delivery in the chat with a bot vs. manual checkout by a manager

How this option differs from the alternative

the manager arranges the shipmentOur approach
Delivery addressthe manager retypes the address from the message into the carrier's accountthe buyer picks the city and branch from the carrier's list with buttons
Several towns with the same nameclarifying in the chat, or the parcel goes to the wrong placethe bot shows all options and the buyer picks theirs
Waybill number for the buyerthe manager copies it and sends it separatelyarrives in the same chat with a tracking link as soon as the waybill is created
Parcel receivedthe buyer tracks the status themselves, and someone closes the order by handthe buyer gets a message, the order is closed
When the alternative is betterenough when the manager keeps up and shipments are fewoverkill if there are a few orders a week in the chat
What we need from you

We can't start without this — best to prepare in advance

  1. an API key from the Nova Poshta account your shipments are registered to
  2. sender details: counterparty, contact person, city and branch of dispatch, phone
  3. default cargo parameters: type, weight, who pays for delivery
  4. a list of the delivery and payment options you offer
  5. payment provider keys, if card payment is needed
  6. a person who creates waybills from orders and takes the difficult conversations
If something is missing — let us know, we'll help you gather it or do it as a separate task.
FAQ

Most frequently asked questions — with concrete answers

Is this the official Nova Poshta bot?

No. It is your store's bot: it sells your products and arranges Nova Poshta delivery for your buyers. You can track your own parcel from any sender in the Nova Poshta app or on its website — we have nothing to do with that.

Who creates the waybill — the bot or the manager?

The manager, with one click in the order. The bot has already collected the city, branch or address, and the recipient's name and phone in the chat; the sender details and cargo parameters are filled in from the settings. As soon as the waybill is created, the bot sends the buyer its number and a tracking link, and the order is marked as shipped.

Where does the bot get branches and parcel lockers from?

From the Nova Poshta directory through the carrier's API, not from a list someone exported once and forgot to update. The buyer types a city and the bot shows matches as buttons; then the branch number or street, and the buyer sees the branches and parcel lockers of that exact town.

Can the buyer find out in the bot where the parcel is?

The waybill number with a tracking link arrives in the chat right after the waybill is created, and one more message comes when the parcel has been received. Intermediate statuses like “arrived at the branch” the buyer sees via the link: the platform checks with Nova Poshta roughly every 45 minutes, not instantly. Disputes about delays or damage the bot hands over to a person together with the conversation history.

What does the store need to provide for launch?

An API key from the Nova Poshta account, the sender details (counterparty, contact person, city and branch of dispatch, phone) and default cargo parameters. It cannot run on someone else's key: the sender on the waybill is whoever owns the key. Until there is a key, the bot will take the buyer up to the delivery step, but there will be no waybill.

Does courier delivery to the door work?

Yes, it is a separate branch of the flow: the city, then street, building and apartment as text. The carrier accepts address delivery as an address, not as a branch, so the path splits from the very first step.

Is cash on delivery possible?

Yes: in the flow the buyer chooses cash on delivery or card. Card payment runs on your payment provider's keys — it is a separate connection step, described in more detail on the page about the bot with payment.

Our website already has Nova Poshta. Why add it to the chat?

The bot does not replace the carrier module on the website: the site keeps handling delivery in its own checkout. The bot adds the same mechanics where there is no website — in the messenger. If you need it the other way around, Nova Poshta in the website cart, that is a separate integration service.

Which messengers does it work in?

In Telegram and in the LEO widget on your website. In the widget the city is searched in a dropdown list, in Telegram the buyer types it. Instagram and Viber in LEO Chat are still planned — if you sell mostly there, this page does not fit you yet.

How long does the launch take?

8–15 business days as the sum of the stages: review, key and sender details, delivery and payment flow, trial checkout, first days under supervision, acceptance. If a LEO Chat bot with a catalog is already running for you, some stages are shorter. After acceptance, a 30-day warranty applies.

  • We work under a contract

There is no price list on the site on purpose: the same work differs several times over between two clients, and a “from” figure explains nothing in that case. First a free audit — we count your pages, duplicates and speed — then we name the sum and the deadline and fix both in the contract.
