Real estate agency website: a property that has already sold should not stay in the catalog

A real estate catalog works differently from a product catalog: a property exists once and disappears for good. That is why the main problem with such websites is not design but being up to date — a client calls about an apartment that sold two weeks ago, and trust in the whole catalog drops. We build a website where statuses change quickly, withdrawn properties behave correctly instead of returning an error, and the filters work by the parameters people actually use to search for housing.

Situations where this service delivers results

Scenario 1 of 4

An agency whose database lives in spreadsheets

Properties are kept in a spreadsheet or a CRM and reach the site by hand. So the site always lags behind reality, and worst of all on sold properties.

We'll review your situation in a free audit
What's included

Complete list of work and what you get as a result

  • a property catalog with filters by price, floor area, number of rooms, district and type
  • a map of properties with the option to search within a district
  • a property card with a gallery, floor plan and characteristics as fields
  • status management: active, under deposit, sold or withdrawn
  • correct behavior for the pages of withdrawn properties: not an error but an explanation and similar options
  • a viewing request tied to a specific property and realtor
  • database import from a spreadsheet or CRM, if you keep one
  • a fast catalog even with a large number of properties with photos
  • handover with a description of how to add properties and change statuses
When this service isn't right

What's not included — so there are no surprises at delivery

  • checking the legal status of properties
  • photography and preparing floor plans
  • the realtor's work after an inquiry is received
  • promises of inquiry numbers or search rankings
  • real estate valuation

Free review of your task

We look at what decides things in this niche: how up to date the database is, how clear the filters are and how the pages of withdrawn properties behave.

What we measure

  • Where the property database comes fromA spreadsheet, a CRM or manual entry. This determines whether the site can be updated automatically and how far it will lag behind reality.
  • How quickly sold properties disappearThis is the main indicator of trust in the catalog. A call about a sold apartment spoils the impression of the whole site.
  • What your clients search byThe set of filters should match real queries rather than list every field of the property card.
  • What happens to the pages of withdrawn propertiesAn error where a listing used to be loses both the visitor and the search value the page has built up.
  • How heavy the photo-laden catalog isProperty galleries are the heaviest part. This is exactly where a catalog starts to slow down on a phone.
  • Technical state of the current siteResponse speed, structured data, canonical URLs, breadcrumb markup — the same things we measured on websites in this niche.

What you get

  • a list of what affects inquiries in this niche, with the reasons explained
  • a proposed catalog structure and set of filters
  • an estimate of the work broken down by stage
  • an honest answer on whether you need a catalog of your own

Timeline: 2–4 working days

Why is it free

A website with thirty properties and a website with automatic imports of a database of several thousand differ in scope several times over. Without the review any figure would be guesswork.

What affects the price

Why two seemingly identical tasks are priced differently

  • Where the database comes fromManual entry is the cheapest at launch and the most expensive to run. Importing from a spreadsheet or CRM costs more, but it removes the daily work and the lag.
  • Number of propertiesThirty properties is a simple page with a list. Several thousand require a fast catalog, well-thought-out filters and handling the load from galleries.
  • Set of filtersPrice and rooms are done quickly. Searching within a district on a map or by distance to the metro is separate work with geodata.
  • MapShowing properties on a map is convenient, but it needs coordinates for each one. If the database does not have them, you first have to figure out where to get them.
  • Handling withdrawn propertiesCorrect behavior of old pages is separate logic; without it the catalog gradually accumulates errors where listings used to be.
  • Number of cities or districtsWorking in several cities changes the site structure: separate sections are needed, not one list with a filter.
Process steps

Transparent stages with approval at every step

Total duration:20–60 days

  1. Reviewing the task

    2–4 working days

We look at where the database comes from, how quickly sold properties disappear and what clients search by. The result is a catalog structure and an estimate.

  2. Catalog structure

    3–7 working days

We design the property card and the set of fields and filters, and decide how to show statuses and what to do with withdrawn properties.

  3. Building the site

    10–30 working days

We build the catalog, the filters and a property card with a gallery and floor plan. Separately, we make sure it stays fast with a large number of photos.

  4. Map and database import

    4–12 working days

We connect a map with the properties and set up imports from a spreadsheet or CRM, if the database is kept there, along with status updates.

  5. Inquiries and technical base

    3–7 working days

We build a viewing request tied to the property and add structured data, breadcrumbs, canonical URLs and a sitemap.

  6. Launch and handover

    1–3 working days

We roll out the site, check the first inquiries and hand over instructions for adding properties. Then the 30-day warranty from the date the acceptance act is signed applies.

Tasks and results in numbers — all metrics measured by us

a sample of 4 Ukrainian websites in the “property” niche

Task
Find out the real state of websites in the property niche rather than the state their owners describe: the technical base, measurement and site size.
Solution
An external measurement without access to anyone else's admin panels: time to first response as the median of several measurements, the catalog from the sitemap with duplicate URLs removed, counters in the homepage HTML, the PHP version from the headers, hreflang, TLS, robots.txt and the canonical URL.
Result
Measured on 17 September 2026: 4 Ukrainian websites in the “property” niche were checked. 4 of 4 have no local business markup; 3 of 4 have no structured data; 3 of 4 have no breadcrumb markup; 1 of 4 have a certificate about to expire. Median first response time: 265.5 ms; median sitemap size: 42,121 URLs.
What we need from you

We can't start without this — best to prepare in advance

  1. a list of properties with characteristics and photos
  2. where the database comes from and how often it is updated
  3. which parameters clients search by most often
  4. what to do with the pages of sold and withdrawn properties
  5. whether you work in several cities or districts
  6. who on your side accepts the work

If something is missing — let us know, we'll help you gather it or do it as a separate task.

FAQ

Most frequently asked questions — with concrete answers

What should we do with the pages of sold properties?

The worst option is letting the page return an error: you lose both the visitor and the search value the page has built up. The approach that works is to keep the page with an honest “sold” label and show similar options in the same district and price range. A person who was looking for exactly that kind of apartment stays with you instead of leaving for a listings portal.

How often does the database need updating?

As often as it changes on your side. If properties sell every week, manual entry means constantly lagging behind, and it is better to set up imports from a spreadsheet or CRM. One call about an apartment sold a month ago spoils the impression more than ten missing new listings.

How many filters are needed?

As many as there are parameters people actually search by: price, rooms, district, floor area, type of housing. Putting every field of the property card into the filter makes it bulky and unusable. In the review we look at your real queries rather than adding everything in sight.

Is a map needed?

In most cases, yes: housing is chosen by location. But a map needs coordinates for every property, and if the database does not have them, you first have to decide where they will come from. We raise this question in the review, not in the middle of the work.

Do you guarantee inquiries from the website?

No. The site gives you a direct channel and makes you visible beyond the listings platforms, but the number of inquiries depends on your database, prices and competition in the city. We are responsible for making sure a person who has found your property can quickly look it over and leave an inquiry.

How long does development take?

21 to 60 working days. The catalog with filters and the database import take the most time. We give the exact timeline after the review, once it is clear how many properties there are and where they come from.

We sell a new development, not resale properties — is that the same thing?

No, the logic is different. For a new development, floor plans, construction phases and the status of apartments in the building matter more — it is closer to an availability chart than to a feed of listings. In the review we find out straight away which case is yours, because the site structure depends heavily on it.

Who owns the website after the work?

You do. The property rights to the code, design and materials pass to the client after full payment, and the result is handed over under an acceptance act. The domain, hosting and analytics are registered in your name from the very start.

Let's look at how to keep your catalog up to date

We will show what it takes to keep sold properties out of the active listings, so clients do not call for nothing. The review is free.

  • We work under a contract

There is no price list on the site on purpose: the same work differs several times over between two clients, and a “from” figure explains nothing in that case. First a free audit — we count your pages, duplicates and speed — then we name the sum and the deadline and fix both in the contract.
