Knowledge base: people look for the answer to their own question, not for your “Help” section

Nobody visits a site to read documentation. People come with a specific question — and want to see the answer to exactly that, ideally straight from search. That is why a knowledge base built as one long “Questions and answers” page barely works: it gets into search whole or not at all, and inside it the person has to scan for their item. We build it differently: a separate page for each question, and each of them is an entry point in its own right.

What's included

Complete list of work and what you get as a result

  • a separate page for each question instead of one long “Help” page
  • a section structure that immediately shows what is still missing
  • search that works on people's wording, not on your internal terms
  • question-and-answer markup that gives a search engine what it needs to show the answer directly
  • text editing by your own people without a developer
  • a link to support on every page — for cases where the answer is not there
  • cross-links between related questions so that the person does not go back to the home page
  • analytics: which pages are read and from which ones people still go to support
When this service isn't right

What's not included — so there are no surprises at delivery

  • writing all the texts for you without your involvement
  • guaranteed search rankings for reference queries
  • keeping the texts up to date after handover
  • translating the knowledge base into other languages
  • promises to cut inquiries by a percentage
Who it's for

Situations where this service delivers results

Scenario 1 of 4

A company whose support keeps giving the same answers

If ten questions account for half of all inquiries, it is not a support problem but a missing text. Each answer is written once and repeated out loud hundreds of times.

We'll review your situation in a free audit
Free review of your questions

We look at which questions you are actually asked and how many of them deserve their own pages.

What we measure

  • What is asked most oftenWe take real inquiries, not assumptions about them. The list is almost always shorter and more down-to-earth than the owner expects.
  • In what words people askPeople phrase things differently from what you call them internally. Headings have to use their words, otherwise the page will not be found.
  • What is already writtenOften half the answers already exist — in managers' emails, in chat, in internal instructions. This is the material, and it needs to be collected.
  • Who will writeThe key question. Without your expert involvement a knowledge base comes out empty: we can format knowledge, but we cannot invent it.
  • Who will keep it up to dateAn outdated instruction is worse than none, because people trust it. If nobody is available to update, the scope has to be cut deliberately.
  • Whether there is search demandSome questions are searched by thousands of people, others only by your clients. These pages differ in value, and it is worth starting with the former.

What you get

  • a list of questions that deserve their own pages
  • a draft section structure
  • an estimate of the work broken down by stage
  • an honest answer if an ordinary block of questions on the page will do

Timeline: 3–5 working days

Why is it free

The main thing here is not the platform but whether you have something to write and who will write it. Until you look at real inquiries, any estimate would be guesswork.

What's next

You receive a list of questions and a draft structure. Then you decide for yourself — the document stays with you.

What affects the price

Why two seemingly identical tasks are priced differently

  • Amount of materialTwenty pages and three hundred are different tasks not in layout but in structure: beyond a certain volume, a base without well-thought-out navigation cannot be used.
  • State of the textsIf the answers are already written, we format them. If they have to be drawn out of managers one at a time, that is the longest part of the work.
  • Internal searchA simple search by headings is quick to build. Search that finds results by synonyms and misspelled words is a separate task.
  • Who will editIf your people will edit the texts, you need a clear editor and formatting rules. That adds work at the start and removes dependence on us.
  • VersioningFor a versioned product, the documentation must distinguish which version each page belongs to. This noticeably complicates both the structure and the editing.
  • Markup for searchCorrect structured markup gives a chance of the answer being shown right in search results. There are no guarantees here, but without markup there is no chance at all.

Tasks and results in numbers — all metrics measured by us

a free public service: a converter of KVED-2010 codes into NACE 2.1-UA for entrepreneurs

Task
In 2026 Ukraine is moving to the NACE 2.1-UA classifier, and every sole trader has to work out their new code. There is no automatic transition, and the official correspondence tables are hard for a non-specialist to use. The task was to let an entrepreneur find their new code from the old one — or simply upload an extract from the Unified State Register — and get an answer in a minute, free of charge.
Solution
An application on Next.js: a converter by the old code, the full correspondence table, code recognition straight from an uploaded document, separate pages for every code, and explanatory material on which single-tax groups are available to whom and how the transition works. Every code got its own page, so a person finds the answer straight from search rather than through the home page. Indexing is open, including rules for the crawlers of AI assistants.
Result
Measured 2 August 2026: the service works, first server response 244 ms, the sitemap holds 1,366 addresses — 616 activity codes plus supporting pages. For the period 1 July – 2 August 2026: 349 active users, 346 of them new, 2,300 events, average engagement time 1 min 45 s. The converter's home page had 514 views and 288 active users.

Stomat Podcast

a niche store of dental materials with a content section (podcast, educational material)

Task
Combine a store of dental materials and instruments with a content section for the professional community in one site — so that the podcast audience finds its way into the catalog and the catalog stays compact and fast.
Solution
An OpenCart store (UniShop2 theme) behind Cloudflare. The sitemap is built as a proper sitemapindex of four files (homepage, categories, products, information pages) with no duplicates. Payment by cash on delivery at a Nova Poshta branch and by card, delivery to a branch or by Nova Poshta courier, free delivery from UAH 5,000. Content distribution: Apple Podcasts, YouTube, Telegram, Instagram, TikTok.
Result
96 products and 21 categories — 123 URLs in the sitemap with zero duplication (for comparison, another project in the same sample had duplication up to 3.9×). TTFB 0.44 s at 103 KB of HTML — the second lightest page among the 16 measured portfolio sites. Measured 31 July 2026.

Process steps

Transparent stages with approval at every step

Total duration:10–30 days

  1. Collecting questions

    3–5 working days

We take real support inquiries, managers' emails and chats. We write down what people ask and in what words. This is where the whole subsequent scope takes shape.

  2. Structure

    2–4 working days

We group questions into sections so that a person finds the answer in two steps. You immediately see where your gaps are — and that is useful in itself.

  3. Templates and editor

    5–10 working days

We build the question page, the section page, search and an editor in which your people can write on their own. We work in a test environment.

  4. Content

    5–12 working days

We move existing answers over, format them consistently and, together with you, write what is missing. The expert part stays with you, the form with us.

  5. Search and markup

    2–5 working days

We tune internal search to the way people phrase things and add structured question-and-answer markup for search engines.

  6. Launch and handover

    2–3 working days

We roll out the section, set up analytics and show you how to add new pages yourselves. After that the 30-day warranty from the date the acceptance act is signed applies.

When the simple option is enoughoverkill for ten short questions
What we need from you

We can't start without this — best to prepare in advance

  1. real support inquiries or a list of the most frequent questions
  2. existing instructions in any form, even drafts
  3. who on your side will write or check the expert part
  4. who will update the texts after launch
  5. whether you need to distinguish between product versions
  6. who on your side accepts the work

FAQ

Most frequently asked questions — with concrete answers

Will you write the texts for us?

Format them, structure them and rewrite them clearly — yes. Invent expert answers in your place — no, and that is a matter of principle. A knowledge base is valuable precisely because it holds your experience. Our part is the form, the structure and making sure the page gets found; yours is the knowledge nobody else has.

Why separate pages instead of one list of questions?

Because people come from search with a specific question. One long page gets into search results whole or not at all, and the person has to scan it for their item. A separate page is found straight from the question, it can be sent as a link in a support email, and it can go into as much detail as needed.

Where do we start if there are a lot of questions?

Start with the ten that generate the most inquiries. That almost always does more good than a hundred pages about rare cases. Besides, the first ten will show whether your people are really ready to write — the main risk of the whole undertaking, and it is better to discover it on a small volume.

Who will keep the texts up to date?

This has to be decided before we start. An outdated instruction does more harm than a missing one, because people trust it and act on it. If nobody is available to update the texts, it is more honest to build a smaller section about things that do not change for years than a large base that goes stale in six months.

Will this reduce the number of support inquiries?

We do not name percentages. What usually changes is not the number but the nature: simple questions drop away, and the complex ones that really need a person remain. We set up analytics so you can see from which pages people still go to support — the most useful list for further work.

Will the answers appear directly in Google?

They might, but it cannot be guaranteed — the decision is made by the search engine, not by us. What we do is add correct structured markup for questions and answers, without which there is no chance at all. We will not promise rankings or appearance in search results.

How long does it take?

19 to 39 working days. The technical part — structure, templates, search, editor — is predictable. The timeline is set by the content: if the texts already exist, it takes weeks; if they have to be drawn out of managers one at a time, the real pace is set by you.

Will it work for versioned product documentation?

Yes, but it is noticeably more complex. Every page has to know which version it belongs to, and the reader has to see that they are reading the current one. This affects both the structure and the editing, so we estimate such projects separately.

Let's see which questions deserve their own pages
